How to Record Meetings Without a Bot Joining the Call

If you've been in a video call recently, you've probably watched a robot named something like "Notetaker" or "Meeting Assistant" silently join as a participant to record and transcribe. These AI meeting bots are useful, but they come with tradeoffs a lot of people run into eventually. Here's the alternative.
The problem with meeting bots
An AI notetaker bot has to actually join the call as a visible participant on platforms like Zoom, Google Meet, or Teams. That means:
- Every attendee sees an extra participant in the call, which some clients and guests find off-putting or even a dealbreaker in sensitive conversations.
- Bots are usually built for one platform's API integration, so a bot that works great on Zoom may not support Google Meet, or may require separate setup for each.
- They only capture online meetings — they're no help for in-person meetings, phone calls, lectures, or any conversation that isn't happening inside a supported video platform.
- Free tiers on meeting-bot software are often capped by minutes or number of meetings per month, with the real functionality behind a workspace-level subscription.
The hardware alternative
A dedicated AI voice recorder solves this differently: instead of joining the call as a digital participant, it captures audio directly — either sitting on the table for in-person meetings, or magnetically attached to the back of your phone for calls. Nothing joins your Zoom, Meet, or Teams call as a visible attendee. The recording happens at the hardware level, so it works identically whether the conversation is happening on a video call, over the phone, or in person with no computer involved at all.
What you give up, and what you gain
The tradeoff is upfront cost: a bot is often free or cheap because it's software, while a recorder is a one-time hardware purchase. What you gain is coverage — one device that handles video calls, phone calls, and in-person meetings the same way, without appearing as a participant, and without being tied to a specific meeting platform's compatibility list.
HARIOX uses this approach: dual-mode recording that automatically detects whether you're in a phone call or an in-person conversation, with AI transcription and summaries handled afterward in the app — no bot, no visible participant, no platform lock-in.
